T E R M S   &   C O N D I T I O N S

Please read through all of the terms and conditions as they pretty much explain everything you need to know about booking with Ellen Marie Events Company.

Ellen Marie Events Company has a good network of professional suppliers and specialists that cover the North West area so be rest assured that we will do all we can to accommodate your requests.  However, please be aware that summer months can be booked 12-18 months in advance.

To make the process fair, Ellen Marie Events Company acts on a first come, first served basis. So until your initial deposit is paid and booking form completed, we cannot hold your event date: we allow 14 days for this to be paid from the date of your consultation.

Once the booking form is completed and the date is secured, a mood board will then be designed alongside a comprehensive inventory detailing everything that is included in your final quotation in the form a final written agreement. You have 7 days from this being sent to you to raise any discrepancies and/or make any amendments. You will be required to confirm the written agreement in accordance with our Terms and Conditions within 7 days of it being sent to you.

 

At time of booking, you are required to pay a non refundable deposit of 25% of the total balance quoted in your booking form.

Your final balance, if not already paid, is due 14 days prior to your event. All payment dates, with details of balances will be clearly stated in our final agreement.

Once the account is settled, no refunds will be made.

If we are unable to contact you to settle your account within 2 weeks of your event, your booking will be cancelled by Ellen Marie Events Company and cancellation fees will apply (refer to cancellation policy below for further details).

​All payments are to be made via BACS, details of which are given upon booking.

Consultations and Bookings

Once an enquiry has been made, Ellen Marie Events Company will arrange a consultation with you. During the consultation, you will have the opportunity to share with us your requirements. An enquiry form will be completed and a final quotation will be sent to you within 2-3 working days. If you are happy with the quotation, you are required to complete a booking form (subject to these Terms and Conditions) and a non-refundable deposit of 25% of the total amount will be due within 14 days (from the date of consultation) to secure the date. Once the booking form and deposit have been received, Ellen Marie Events Company will contact you to confirm receipt and date.  Once we have received this deposit for your booking, we are committed to providing you with our service. We often turn down enquirers because we are fully booked and committed to our clients. Because we regularly turn down potential bookings, we have a cancellation policy in place which ensures that minimum loss is made by our business and also offers protection for the client. However the client has 14 days from the date their deposit is paid and booking form signed in which to cancel the booking without forfeiting any monies. The exception to this is if the booking date is within the 14-day period. Further details of our cancellation policy can be found below.

Before the initial consultation, we ask that you send/bring with you photos, weblinks or images that have caught your eye-this allows us to fully understand your requirements. 

Please allow 1-2 hours for your consultation so we have enough time to really understand what it is you want. We want all of our clients to be completely happy and satisfied with the venue styling.

Please give at least 48 hours notice of consultation cancellations. A charge of £10 may be levied for late notice consultation cancellations. 

The Day of your Event

Ellen Marie Events Company will be sure to clarify timings at our consultation and this will also be confirmed 14 days prior to your event in a form of a schedule. For larger events, it can be helpful for us to bring an additional pair of hands on board, this will always be someone who is experienced in assisting and suitably qualified (additional fees will apply).

We will arrive in plenty of time to set up and make a punctual start.

We aim to have your venue completely styled for you an hour before the confirmed time of completion (as stated in your booking form). At this point, we ask that any issues are raised so that we can rectify in good time (unless you request us not to).

No compensation or refund will be offered by Ellen Marie Events Company for delays caused by other event vendors, guests or photographers.

You must ensure we will be working in a suitable environment with adequate lighting, electricity points and hand washing and toilet facilities.

Travel and Mileage

Ellen Marie Events Company will cover the first 10 miles of any return journey. Any additional miles thereafter are charged at 45p per mile, this is why you are asked for the venue address and postcode at time of booking. Mileage is calculated from Mossley, Ashton under-Lyne, to your chosen venue.

For journeys of over 45 minutes travel each way, an additional hourly rate will be charged, i.e. 2.5 hours total travel = 1 hour travel charged.

Parking, toll, and congestion charges will be added to your final bill.

Please inform us of any parking restrictions as we have to carry a lot of equipment. 

For large scale, national bookings; Accommodation, mileage and some meals will be charged but this would be discussed and mutually agreed beforehand.

Changing or cancelling your booking

All payments are non-refundable/transferable unless a change or cancellation is made within 14 days of signing the booking form and paying your initial deposit. The exception to this, is where a booking is made and the event date is within the 14 day period: any monies paid in this case will be non-refundable.

Additional items to the original booking will be accepted if time and resources allow, in writing and by prior agreement. Additional charges will apply.

If you must cancel your consultation or event date, any monies paid cannot be refunded due to your date and venue stylists being held for you and this will substitute some of their loss of earnings.

In the unfortunate event that you must cancel your total booking, cancellation fees will be as follows:

  • 12-8 weeks before the event: 40% of the total fee.

  • 6-8 weeks before the event: 50% of the total fee.

  • 4-6 weeks before the event: 75% of the total fee.

  • 4 weeks or less before the event: Full outstanding amount will be due.

Miscellaneous:

1) All equipment remains the property of Ellen Marie Events Company (unless specifically stated in your booking form).

2) During the period of hire, the client (person named in booking form which is subject to these terms and conditions) shall be solely responsible for the hired goods (except where a member of staff from Ellen Marie Events Company is present).

3) Ellen Marie Events Company shall not be responsible for injury or damage to persons or property howsoever sustained arising from our goods under hire.

4) The Contact for the Hire of Goods is between Ellen Marie Events Company and the client, not the venue (unless goods are being hired directly by the venue). It is the client's responsibility to ensure that the venue is clearly instructed so that the terms and conditions are met.

5) Damage Deposits: For some items, a damage deposit is payable in addition to the hire charges. This covers damages to hired goods on any item that is not supervised by a member of staff at Ellen Marie Events Company. This charge will be invoiced out 14 days prior to your event , or with your final balance invoice, and will be returned to the client once all hired stock has been collected and checked. The damage deposits are as follows:

  • 4ft LED Letters: £50 per letter.

  • Chair Covers and Sashes: £50

  • Vintage Post Box: £40

  • Aisle Runner: £30

  • Candy Cart: £25

For larger events/bookings, an overall agreed damage deposit will be stated in your final quotation on the booking form (subject to these Terms and Conditions) due to the amount of equipment that will be used.

6) Shortages and damages to hired goods will be charged at full replacement value inclusive of VAT and delivery to Ellen Marie Events Company. No substitute item will be accepted by Ellen Marie Events Company.

7) Ellen Marie Events Company will inform the client within 24 hours of any damage. A reminder will then be sent in 7 days, in writing, of any damages and costs concerning any of the hired goods. An invoice will be sent outlining the amount of damage and costs exceeding the damage deposit.

8) The damage deposit, minus and deductions for loss or damage will be returned within 30 days of the hire date. If no deductions are required, the damages deposit will be returned within 3 working days of the event.

9) Electrical backdrops/swagging/freestanding drapes and LED Lights are to be installed, taken down and moved only by Ellen Marie Events Company: unless authorised in writing by Ellen Marie Events Company. If any of these hire items have been moved or taken down, without authorisation, this will result in the forfeit of any damage deposit paid. To gain authorisation from Ellen Marie Events Company for any of these items to be moved by someone other than our staff, a written agreement will be given to the client which will advise that the person(s) moving the items will be liable for any costs incurred, if damage should happen.

Clients are responsible for advising their venue/room hirer/events manager of the above. Staff from Ellen Marie Events Company can be hired to return to a venue to move hired items if this is not included in the original agreement. Price to be requested by client. Travel costs will be incurred, regardless of distance of venue from Ellen Marie Events Company.

10) Charges will be made for any damaged goods including goods that have been dragged on the floor, ground in earth stains, burns, holes, rips & tears, candle wax, grease or deep staining.

11) Damaged goods remain the property of Ellen Marie Events Company.

12) In the very unlikely event that Ellen Marie Events Company is unable to perform services on the event date, for any unforeseen or unfortunate circumstances out of our control, including but not limited to sickness, accident, road or motorway closure or severe weather conditions, be sure that every reasonable effort will be made to find a replacement reputable event stylist(s) at short notice; however any such booking will remain solely the responsibility of yourself. No compensation will be offered on our part. It is strongly advised to take out wedding or events insurance to cover you against these extreme situations.

13) Terms and Conditions are subject to change by Ellen Marie Events Company at any time. It is the client's responsibility to check these Terms and Conditions on our website www.ellen-marie-events.wixsite.com/northwest 

Coronavirus Update: March 2020

If a client or anyone who will be present either at the consultation or on the day of the event has recently come into contact with anybody who has been diagnosed with Covid-19, they should let Ellen Marie Events Company know immediately. On arrival at the venue, or consultation, if it is apparent that anybody has an infectious disease which we have not been informed about; Ellen Marie Events Company has the right to cancel the service/appointment without penalty to avoid the serious risk of cross-infection.

Face Masks (unless exempt) must be worn by the staff at Ellen Marie Events Company/Client/Vendors/Guests whilst we are inside the venue. Failure to adhere to this will result in us cancelling the service without penalty. Clients have the right to cancel due to coronavirus/illness (please refer to cancellation policy for details).

Thank you for booking with Ellen Marie Events Company and for ploughing through these terms and conditions, which may sound formal, but are designed to protect both parties and are for your information. I very much look forward to working with you at your event.

Fees/charges are set by the business and are at our discretion. On occasion and with extenuating circumstances, especially where a cancellation has occurred but another booking has taken its place, part of the fee may be waived.

PRIVACY POLICY: Your information, including name, addresses and contact information will not be used for any other purposes other than contacting you regarding your event, or for future contact for feedback or similar.

BY COMPLETING THE BOOKING FORM AND PAYING THE INITIAL DEPOSIT, YOU ARE AGREEING TO THESE TERMS AND CONDITIONS.
